Keyword selection, media relevance, tree structure... are all elements to be taken into consideration to enable users to quickly find the digital resources they need. To support our customers effectively and enable them to exploit the full potential offered by the platform, Keepeek has set up its own documentation team.

Our customers have always asked us to provide various types of documentation services. Initially, these services were provided by our project managers. However, in view of the continuous and sustained development of our business, Thomas Larzillière, our CEO, wanted to create a team of experts to respond effectively to our customers' challenges. By winning the Stellantis Group project, things accelerated and our team of documentalists was gradually built up.
So it was in the summer of 2016 that I joined Keepeek to take on this new challenge.
Ourcontacts are marketing and communications professionals. Most of the time, they don't have the skills or specialists on their teams to deal with issues relating to the management and enhancement of their multimedia resources. So the need is felt very early on. Our customers want to be reassured and save time, by benefiting not only from our expertise but also from customer feedback on best practices.
Firstof all, there's the document audit, which we propose right from the start of the project. The aim is to evaluate, structure and classify the multimedia collection. This audit is based on 2 fundamental questions: who produces and who consumes these resources? Because an MRM (Marketing Resources Management) project must be driven by usage, not content. At the end of the document audit, we draw up the thesaurus or the famous list of keywords.
As a general rule, it is during this stage that we also advise our customers on legal points relating to the management of copyright or image rights. Then comes the work of indexing the media, i.e. adding the relevant and precise information that will enable users to find what they're looking for. This is a service we can provide either at the outset of a project, notably as part of a document collection takeover, or on a more ad hoc basis to manage peaks in activity by indexing photo reports, for example.
User training is also part of our mission. Our aim is to enable our customers to be totally autonomous in managing their projects. The format is relatively short and can be carried out remotely, in the form of virtual classes or MOOCs. We have broadened our scope to include user assistance. This can take the form of hosting a chat to answer any functional questions about the Keepeek DAM solution. Our aim is to provide the best possible user experience.
Forexample, Elior - an international catering group - relies on the Keepeek DAM solution to manage and share all its digital resources. To promote its various services, the Elior group regularly produces reports, each consisting of several dozen photos. We do all the indexing for them, in several languages. This involves entering captions, keywords, location and copyright information. We provide this service remotely. We are totally flexible, as we adapt to the seasonal nature of the stories.
For the Cinémathèque Française, which manages a considerable documentary collection on cinema, the objective was to be able to find all types of media quickly and easily. Keyword quality is therefore crucial. We helped them redesign their thesaurus. At the same time, the Cinémathèque Française was considering a reorganization of their filing plan, and also entrusted us with reindexing all their media in the new tree structure.
For the Stellantis group, a project of international scope which integrates media management for all the group's brands (Peugeot, Citroën, DS, Fiat, Opel...) as well as other cross-functional departments, we are called upon to carry out various documentation assignments. These can include audits for the integration of new multimedia collections, training in French or English, DAM feed missions or user management. For example, one of our missions is to provide year-round, 2-day-a-week indexing of all the media held by the Marketing and Communication departments of one of the Group's brands. We also have to manage new DAM access requests, as well as the renewal of certain licenses. On a daily basis, we also animate the user community via chat.
Exchanges can be evaluated, and to date we've achieved over 90% satisfaction.
For Airbus, the merger of several media libraries led to the creation of a single, centralized content repository. Once the solution had been deployed, the Documentary Center provided training in French for the French-speaking teams, and in English to enable the German, Chinese and American teams to work effectively with the tool (which is itself totally multilingual).
